Preferred vendors

Supplier Code of Conduct

Last updated October 12, 2026

Zoetic works with a small network of trusted trades, operators, venues and specialists to look after our members, their homes and their plans. Every preferred vendor agrees to this Code before working with us, and it applies to every engagement arranged through Zoetic, alongside any written quote, booking confirmation or scope of work.

Apply to become a preferred vendor

1. Quality of work

You will provide goods and services with professional skill and care, in line with the instructions, scope and timing agreed at booking. If you cannot meet the requested timing or standard, you will tell us as soon as possible, and in any case within two business days of the request.

2. Licenses, registration and permits

You will hold and keep current every license, registration, certification and permit your work requires, including Washington State contractor registration with the Department of Labor & Industries where applicable, and any trade, operator or professional license. You will tell us promptly if any of these lapse, are suspended or are subject to action.

3. Insurance

You will maintain, at your own cost:

  • Commercial general liability insurance of at least $1,000,000 per occurrence;
  • At least $5,000,000 for higher-risk services, including aviation, marine and yacht charter, chauffeured or motorsport transport, equestrian activities, and anything involving firearms;
  • Commercial auto insurance where vehicles are used, and workers’ compensation coverage as required by Washington law; and
  • Any other coverage reasonably required for your trade.

Certificates of insurance must be provided on request, and we may ask for Zoetic and the relevant member to be named as additional insureds.

4. Clear terms before booking

Your pricing, deposits, cancellation, refund, change and warranty terms must be given to us in writing before an engagement is confirmed. Terms first presented after confirmation will not apply unless the member agrees to them in writing.

5. Transparent pricing and commissions

Zoetic passes third-party costs to members at cost and credits any commission to the member. You will therefore disclose in writing any commission, referral fee, rebate or other benefit connected with a booking, and you will not offer gifts, payments or inducements to anyone at Zoetic. Invoices must be accurate, itemized and issued to the party named in the booking.

6. Discretion and confidentiality

Everything you learn about a member, their family, their homes, their travel and their plans is confidential. You will use it only to deliver the service requested, share it only with the people on your team who need it, and never:

  • Name a member or identify their home, vehicles or whereabouts to anyone;
  • Photograph or film a member, their guests or their property, except where needed for the work and approved by us;
  • Post about a member, their home or an engagement on social media or in marketing; or
  • Contact a member directly about anything other than the agreed work, unless we have asked you to.

7. Access to homes

When you work in or around a member’s residence, you will follow the access instructions provided, send only vetted personnel known to you, keep keys, codes and access credentials secure and return them when the work is complete, leave the property as you found it, and report any damage, safety concern or unusual condition to us immediately. Where we ask, team members entering a residence must have passed a background check.

8. Personal and payment data

You will comply with all privacy and data protection laws that apply to personal information you receive, including Washington’s My Health My Data Act where health-related information is involved. You will collect only what you need, keep it secure, not sell it or use it for marketing, and delete it when the engagement ends unless the law requires otherwise. Payment card information must be handled in line with PCI DSS, and you must tell us without delay about any suspected data breach.

9. Non-solicitation

You will not use your work through Zoetic to solicit members, or Zoetic’s other vendors or partners, for business outside of Zoetic, for the duration of your relationship with us and for twelve months afterwards, without our written consent.

10. Safety, conduct and the law

You will comply with all applicable laws, including employment, wage, health and safety, anti-discrimination, anti-bribery and sanctions laws. You will treat members, their families, household staff and our team with courtesy and respect, and you will not subcontract work arranged through Zoetic without our prior approval.

11. Responsibility for your services

You are an independent business and are solely responsible for the goods and services you provide. Zoetic does not provide those goods or services and is not liable for them. You will defend, indemnify and hold harmless Zoetic and its members against claims, losses and costs arising from your goods or services, your negligence or misconduct, or a breach of this Code, and you will not settle any such claim on Zoetic’s behalf without our written consent.

12. Records, review and ending the relationship

You will keep accurate records of work arranged through Zoetic and make them available to us on reasonable request. We may remove a vendor from our preferred network at any time, including immediately for a breach of this Code. Undisputed amounts for work already completed and approved will still be paid.

13. General

This Code, together with the written terms of each booking, is the entire agreement between you and Zoetic about its subject matter. Nothing in it creates a partnership, joint venture, employment or agency relationship. It is governed by the laws of the State of Washington, and the state and federal courts located in King County, Washington have exclusive jurisdiction over any dispute.
